Runwell construction management software · Last updated October 15, 2026
Runwell is software that contractors use to run their business: customers, estimates, projects, scheduling, phone calls, email and payments. Each contractor that uses Runwell has its own private workspace for their business and team. This policy explains what Runwell stores, how it is used, and the choices people have.
Who is responsible
Runwell LLC, a New York limited liability company, provides the software. The contractor using this workspace decides what customer information goes into it and how it is used with their own customers. Questions about Runwell itself: mike@runwellbuild.com.
What Runwell stores
- Team accounts: names, email addresses, roles, and passwords (stored only as secure hashes). Pay rates if an admin enters them for job costing.
- Customer records the contractor enters or that come in through their phone line: names, phone numbers, email and street addresses, projects, estimates, invoices, payments, notes, photos and documents.
- Phone calls answered or placed by the AI phone assistant: recordings, transcripts and summaries. Callers are told at the start of every call that it is an automated assistant and may be recorded.
- Email, if the contractor links their mailbox: a copy of recent messages so the team can read and answer them in Runwell. The mail stays in the contractor's own mailbox.
- Calendar, if linked: appointments Runwell adds and busy times, so visits are not double-booked.
- Time clock entries, including the location recorded when someone punches in or out.
- Google account information, if a team member connects Google Sheets (see below).
How it is used
Only to provide the service to the contractor: keeping their records, answering and following up on calls, booking visits, sending estimates and invoices, and producing reports and exports. Runwell does not sell personal information, does not use it for advertising, and does not share it except as described here.
Google user data
When a team member chooses Connect Google to export to Google Sheets, Runwell asks Google for these permissions only:
- Your email address (openid, userinfo.email), to show which Google account is connected.
- Google Drive files Runwell creates (drive.file). Runwell uses this to create a new Google Sheet with the data you chose to export, in your own Google Drive. Runwell cannot see or change any other file in your Drive.
Runwell keeps the connection key encrypted on the server so exports work without signing in each time. It does not copy the contents of your Drive, and it does not read the sheets after creating them.
Runwell's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is not sold, not used for advertising, not used to train artificial intelligence models, and not read by people except with your permission, for security, or where the law requires.
You can disconnect at any time in Runwell (your name menu, Google Sheets, Disconnect), or from your Google account at myaccount.google.com/permissions. Disconnecting deletes the stored connection key. Sheets already created stay in your Drive and are yours.
Service providers
Runwell uses these companies to run the service. Each receives only what it needs for its part:
- Render (hosting and storage of the workspace)
- Retell AI and Twilio (phone calls and the business phone number)
- Anthropic (the AI that summarizes calls and drafts estimates; by default, data sent through its API is not used to train its models)
- Resend (email sending, when used)
- Google, Apple and Yahoo or other email providers, only when a team member links their own account
Security
Connections are encrypted (HTTPS). Passwords are hashed. Passwords and keys for linked accounts (email, calendar, Google) are stored encrypted. Each contractor's workspace is kept separate from every other.
Keeping and deleting information
Information is kept while the contractor uses Runwell. When the agreement ends, the contractor can ask for an export of their records, after which they are deleted. A person whose information is in a contractor's workspace can ask that contractor to correct or delete it; Runwell will help the contractor do so.
Children
Runwell is a business tool and is not meant for children under 13.
Changes
If this policy changes, the date at the top changes too. Significant changes are shared with the contractors who use Runwell.
